Overview of Role

As the Marine Personnel Officer you will be responsible for ensuring that manning requirements for vessels under your responsibility are met at all times, ensuring optimal planning while paying particular attention to send only suitable STCW qualified seafarers to the vessels in the most cost-effective ports within the constraints of the commercial activity of the vessels.

Key responsibilities and primary deliverables

Crew Changes

  • Ensuring all vessels are manned as per Minimum Manning Documents and Zodiac Management requirements
  • Advance planning and execution of crew changes in an efficient manner, ensuring smooth changes by coordinating with vessels, manning offices, port agents and Masters
  • Ensuring all seafarers join with correct Flag documents, Visas, Medicals, Familiarisations and training
  • Planning and arranging travel for joiners and leavers at cost efficient ports. Obtaining quotes from travel agents and port agents to decide best solutions
  • Proactively identify potential crewing challenges which need to be addressed and work with the team to resolve these issues
  • Ensuring in case of emergency that communication to impacted parties is swift and in line with guidance from company


Performance Management

  • Reviewing ongoing performance appraisals for vessels under your responsibility and ensuring appropriate follow up takes place when required
  • Monitoring junior officers and ratings for future promotions
  • Ensuring all reports and applications regarding seafarers are correctly filed


Other responsibilities

  • Assisting in arranging visas for joining seafarers and/or their family members
  • Carrying out Captain and Chief Engineer briefings for the Crew Department
  • Providing support to Senior Marine Personnel Officers
  • Monitor vessel victualling and welfare on board the managed vessels
  • Assist in any ad-hoc duties, projects and activities when and where required



  • Promptly and professionally respond to incoming messages
  • Ensure all communication is timely, clear, concise, and accurate


IT profile

  • Good knowledge and application of Microsoft Office Applications
  • Be an active participant with regards to upcoming crew system implementation


The Individual

Relevant experience & education


  • A minimum of 2 years’ similar experience in a shore-based crew operator position within the shipping industry
  • Seafaring experience would be an advantage
  • Demonstrated awareness and understanding of STCW95, National & Flag state documentation
  • Demonstrated awareness and understanding of certificate requirements for different types of vessels
  • Strong interpersonal and communication skills to facilitate and maintain strong relationships across the business
  • Excellent attention to detail and the ability to identify and focus on relevant information.
  • Ability to prioritise conflicting demands against short timelines
  • Well-developed numerical, analytical and problem-solving skills, with strategic thinking ability, to support decisions with sound reasoning and judgement
  • Positive attitude, strong work ethic, collaborative in style and excellent communication skills
  • Strong focus on delivering quality and meeting deadlines. A successful track record in dealing with a broad set of activities within a fast-paced environment, whilst managing ambiguity and pressure well
  • Flexible in working hours as you will be required to respond to messages outside of normal working hours
  • Strong academic record with professional qualifications in maritime would be an advantage
